Keeping the office clean and organized has its challenges. Having the right equipment and systems in place can help.
Office essentials
- Furniture essentials – desk, office chair, filing cabinet and bookshelf,
- Equipment essentials – computer, printer, surge protector power bar, phone, clock, bulletin board, calendar with plenty of room to write on, calculator, three-hole punch, paper cutter, mail sorting system and label maker.
- Supplies essentials – ink cartridges, paper, binders, file folders, envelops, pens, pencils, pencil sharpener, eraser, scissors, paper clips, tape, stapler and staples, rubber bands, ruler, sticky notes and note pads.
Organizing
- De-clutter and organize bookshelves, desk and filing cabinet.
- Clear out the space completely and wipe clean with a damp cloth.
- Sort through the items into keep, file or discard/donate piles.
- Put things back in the proper place, keeping like items together.
- Keep supplies close at hand – pencils sharpened, staplers and tape dispensers filled.
- Discard/recycle dried out pens and anything else you don’t use anymore.
- Store small items in containers.
- Use dividing trays to keep drawers organized.
- Store items you need to keep but don’t use often in labelled storage boxes.
- Thin out filing cabinet. Store documents you need to keep in labelled banker’s boxes. Shred and recycle documents you no longer need.
Cleaning
- Wipe light fixtures.
- Wash walls, doors and moldings.
- Clean windows and window coverings.
- Clean computer, printer and other electronic equipment according to instructions in owner’s manual.
- Clean telephone.
- Dust or clean office furniture – desk, filing cabinet, shelves, chairs.
- Pull out furniture and clean behind.
- Vacuum and mop floors.
